Printer Offline: What It Means and How to Fix It
Printer offline is the most common error and one of the most misleading. The printer is not necessarily off — Windows or macOS has lost communication with it and flagged it offline.
- Clear the print queue first. Open Devices and Printers, right-click your printer, and select See what's printing. Cancel all pending jobs.
- On Windows, restart the Print Spooler service. Search Services in the Start menu, find Print Spooler, right-click and restart it.
- Remove and re-add the printer. Go to Settings, Printers, delete the printer, and add it again fresh.
- On macOS, go to System Settings, Printers and Scanners, delete the printer, and add it again.
If it goes offline repeatedly, the problem is usually a changing IP address. Assign the printer a static IP in your router settings to resolve it permanently.
Printer Connected to WiFi But Not Printing
Print jobs disappear without printing despite the printer showing as connected. The most likely cause is an IP conflict or driver mismatch.
- IP address conflict: log into your router at 192.168.1.1, find your printer in the connected devices list, and assign it a static IP address outside the DHCP range.
- Driver mismatch: a Windows or macOS update replaced your working driver with a generic one. Download the latest driver directly from the printer manufacturer website and reinstall.
- Firewall blocking: temporarily disable your firewall and try printing. If it works, add a firewall rule to allow the printer.
Poor Print Quality: Streaks, Faded Text, or Wrong Colours
- For inkjet printers: run a nozzle check and print head cleaning cycle from the maintenance menu. Do this a maximum of two to three times — excessive cleaning wastes ink.
- For laser printers: remove the toner cartridge, shake it gently side to side to redistribute toner, and reinstall. If streaks persist, the drum unit may need replacement.
- Faded text despite full cartridges often means dirty cartridge contacts. Clean them gently with a dry lint-free cloth.
Paper Jams: How to Clear Them Without Damage
Never pull jammed paper sharply. Pull slowly and steadily in the direction of paper travel. Check every access panel — most printers have a rear door that gives the cleanest access. On laser printers, the fuser area is a common jam location and is marked as hot.
